Q&A : BionicX Data Processing Policy
We understand you care about what happens to your data
In order to be as transparent as possible about how we use your data, we have created answers to some questions we anticipate you might have. Responses relate to handling and processing of data, as well as what happens to it after our engagement finishes.
Where is my data stored and processed?
Your data will be stored and processed in a secure sandbox environment in a secure cloud platform. We will use UK/EU data centres, with the option to also host models in the same region if required. Extracts of any interview transcript data will be sent via API to an LLM for processing (inference). Depending on requirements, we have options to use providers which host the models in different regions. The choice of region for LLM hosting may have an impact on the cost of the solution, which we can help you assess during the scoping phase of a project.
How is my data secured?
Data is encrypted at rest and during transmission according to industry best practices.
Our service partners are trusted, certified by enterprises, and meet all GDPR and regulatory requirements. We will strive to anonymise sensitive data such as first and last name combinations when necessary.

Who can access my data?
Strict controls are set to manage access to data, limiting access to only those required to process it.
During initial development, the core project team, including developers from BionicX and its partners, will have access to the data inside a secure, private cloud sandbox.
The data will not be exposed or made public in anyway. Users of the assistant will not have direct access to view the raw data, only the processed outputs and summaries returned via the assistant. Access to the assistant can be secured via password protected logins or Single Sign On authentication.
How is my data used? Will it be retained or used to train other models?
The data shared with these LLMs is private within an enterprise account and will NOT be used for any training of future models.
The data is used to extract insights according the needs of your project, e.g. new marketing strategies or product development. We use LLMs to generate personas, summaries and insights from market research interviews, and use these to simulate interactions and generate new findings. The data and results will not be retained once the contract / engagement has finished and will be securely erased.
